Fugo & your Outlook calendar
Fugo's Outlook Calendar app lets you display a live Microsoft calendar view on your digital signage screens without leaving a browser tab open and signed in on a device near your screen – ideal for daily standups, meeting room schedules, shift planning, PTO calendars, or hybrid work rotations.
Instead of streaming your calendar from an open, signed-in browser session, Fugo signs in to Outlook on a schedule using credentials you provide once, captures an up-to-date screenshot of your chosen calendar view, and displays that image on screen like any other piece of content. Your credentials and secret key are encrypted and stored securely, and you control how often Fugo refreshes the screenshot.

Best practices for using Outlook with Fugo
Before you connect your calendar, a couple of recommendations that will help keep your Outlook calendar running smoothly in Fugo:
Create a dedicated service account
Set up a dedicated Microsoft 365 account with read-only access to the calendar(s) you want to display, rather than using an individual team member's login. This limits risk and avoids unnecessary alerts or two-factor authentication issues tied to personal accounts.
Set your service account's password policy to "never expire"
By default, Microsoft 365 passwords don't expire – but if your organization has turned on a password expiration policy, Fugo can't get past a forced password-change prompt on its own, and your calendar will stop refreshing until someone manually signs in and updates the password. To avoid recapturing your calendar every time a password expires, set your service account's password policy to never expire. Microsoft's instructions for this are here.

Sign-in method Outlook supports
Unlike Fugo's other dashboard apps, the Outlook Calendar app doesn't ask for a dashboard URL. Instead, you'll pick which calendar view to capture directly in Fugo (see Configure your calendar below), and Fugo builds the correct Outlook URL for you behind the scenes.
Sign in with Outlook
Fugo signs in directly with your Microsoft account username and password. The Outlook Calendar app doesn't currently support signing in through Okta or another third-party identity provider – it connects to your Microsoft account directly.
Get a Secret Key from Microsoft
To securely connect your Outlook Calendar to Fugo, you'll need to set up two-factor authentication (2FA) with Microsoft Entra and obtain a Secret Key. This key allows Fugo to authenticate with your Microsoft account and access your calendar without requiring constant re-logins.
Here's what you'll need:
Service account: A dedicated Microsoft account with read-only access to the calendar(s) you wish to display (see Best Practices above).
Authenticator app: Install an authenticator app (such as Microsoft Authenticator) on your device. You'll use this during 2FA setup, though the code itself is for your reference only – Fugo generates its own codes from the secret key.
Secret key: During 2FA setup, you'll obtain a secret key from Microsoft. This key is essential for Fugo to authenticate with your account.
Steps to obtain your secret key
Access your Microsoft account security settings
Navigate to your Microsoft Account Security page or the Azure Users portal.
Click on Advanced Security Options.
Set up two-step verification
In the Additional Security section, turn on Two-step verification.
Follow the prompts to begin the setup process.
Configure authenticator app
When prompted to choose a verification method, select An app.
Click on Set up a different Authenticator app.
Obtain the secret key
A QR code will be displayed. Instead of scanning it, click on I can't scan the barcode.
This will reveal the secret key. Copy and save this key securely – you'll need it during the Fugo setup below.
Enter the resulting code in your chosen authenticator app and verify it so the 2FA TOTP system gets activated.
Disable other verification methods
To ensure seamless authentication with Fugo, remove any other verification methods (such as phone numbers or email addresses) from your Microsoft account. This prevents conflicts and ensures Fugo can authenticate using the secret key without interruptions.

Configure your calendar in Fugo's Outlook app
With your secret key saved, you're ready to connect your calendar in Fugo.
1. Log in to your Fugo account. If you don't have one yet, start your free trial at www.fugo.ai/app.
2. Go to Dashboards in the left-hand navigation, then click Create Dashboard.
3. Under Browse dashboards, select the Outlook Calendar tile.
4. Select the calendar view you want to display from the dropdown: Day, Work week, Week, or Month.
5. Enter your Microsoft Outlook username, password, and secret key as described above.
6. Click Create dashboard.
7. This opens the dashboard editor. In the background, Fugo uses your credentials to sign in and capture a screenshot of the calendar view you chose – this can take a minute or two. You can close the editor and come back later, or configure settings while you wait (see Edit your calendar – advanced settings below).
8. Give your calendar a name – you'll need one to save it.
⚠️ If your calendar preview doesn't generate or you see an error, click Edit and check your credentials and secret key first. If you're still stuck, reach out to support@fugo.ai or use the support chat in the CMS.
9. Once saved, your calendar appears in your Dashboards library with a default refresh interval of once per day.
Customize your calendar display in the Design Studio
Some Outlook calendar views include more detail than you want on screen, or not enough clarity from a distance – that's where the Design Studio comes in.
Add your saved calendar to a Design Studio canvas to crop it down to just the time range or events you need, and combine it with your logo, other apps (like World Clock or CNN), text, or media on the same slide. Open (or start) a Studio design, find your calendar under the Dashboards panel, and drag it onto the canvas.
From there you can crop, resize, and combine it with other elements, then publish the design to a playlist the same way described below.

Publish your calendar to a screen
A calendar isn't published directly from the editor or your library. Instead:
1. Open (or create) a playlist, and add your calendar to it as a content item.
2. Target that playlist to the screen(s) you want it to appear on.
3. Publish the playlist.
The same calendar can be reused across multiple playlists and screens – updating and saving it updates everywhere it's used, so you don't need to republish each screen individually.

Edit your calendar – advanced settings
Clicking your calendar in the library opens the dashboard editor, where you can adjust the Refresh Interval (how often Fugo re-captures your calendar), resolution, and other capture settings, and choose whether Fugo runs the sign-in/capture steps in the cloud, on your own on-premise server, or on the player device itself.
These settings work the same way for every dashboard type.
