What is the Fugo player for Microsoft Teams Rooms?
Microsoft Teams Rooms (MTR) is a meeting room solution that runs on certified hardware and delivers a high-quality Teams meeting experience. But when no meeting is in session, those displays sit idle.
With Fugo, you can put that downtime to work. By setting player.fugo.ai as the digital signage source for your Teams Room, your screens automatically display Fugo content — announcements, dashboards, schedules, branding — whenever a meeting is not active. When a meeting starts, Teams takes over. When it ends, Fugo resumes.
Use it to:
Display meeting room schedules and availability between sessions
Show company announcements, KPIs, or dashboards on idle room screens
Keep meeting room displays on-brand and informative at all times
💡 Note: To follow this guide, you'll need an active Fugo account with at least one available screen license, and access to the Microsoft Teams Rooms Pro Management Portal. A Microsoft admin account is required for the portal. Sign up for a free Fugo trial here: https://www.fugo.ai/app/auth/signup

Content already set up in Fugo — a playlist, media file, or app
Access to portal.rooms.microsoft.com with a Microsoft admin account

How to connect Microsoft Teams Rooms screens to Fugo
Pair a screen to Fugo
1. Open player.fugo.ai in your browser. You'll see a pairing code on screen.
2. Click the pairing code to copy it.
3. In a new tab, open your Fugo CMS (https://app.fugo.ai) and log in.
4.Go to the Screens page and click Add Screen.
5. Enter the pairing code you copied and complete the pairing flow. Give your screen a name.
6. Assign a playlist or content to the screen.
7. Go back to the player.fugo.ai tab — your content should now be playing on screen.
Copy your unique URL
Each Microsoft Teams Room needs its own dedicated Fugo player instance. To set that up, you'll need to generate a unique URL for this player.
1. Move your mouse to the top right corner of the player window to reveal the side menu button. Click it to open the menu.
2. Click Copy unique URL.
3. A confirmation pop-up will appear. Click Yes, I'm sure. The unique URL will be copied to your clipboard and a new player instance will load with a fresh pairing code.

⚠️ Important: Paste the unique URL somewhere safe — such as a note or Slack message — before continuing. You'll need it in the next section. A unique URL can only be used on a single device at a time. If the same URL is opened on another device, one instance will disconnect.
Configure Microsoft Teams Rooms to display Fugo content
1. In a new tab, open the Microsoft Teams Rooms Pro Management Portal: portal.rooms.microsoft.com. Log in with your Microsoft admin account.
2. In the sidebar, go to Settings → Digital signage and click Add source.

3. Give your source a name — for example, "Fugo Signage" — and click Next.
4. Select Custom, paste the unique URL you copied from the Fugo player into the URL field, and click Next.

5. Acknowledge the terms by clicking Next.
6. Review the details and click Submit, then Done. Your Fugo source has been added.
7. In the sidebar, go to Rooms and select the Teams Room you want to display Fugo content on.

8. In the room settings pop-up, go to Settings → Digital signage and configure the following:
Turn Digital signage → On
Turn Show Teams Rooms banner → On
Set the idle display period before signage activates (we recommend 1 minute)

9. Scroll down and:
Turn Allow screen timeout when device is idle → Off
Set Signage source to the Fugo source you created in steps 2–6

10. Click Apply → Apply now → Submit → Skip and Close.
💡 Note: The settings will be applied in the background. It may take a few minutes to take effect on your Teams Room device.
That's it! Once your Teams Room has been idle for the configured period, it will automatically begin displaying your Fugo content. When a meeting starts, Teams takes over. When the meeting ends, Fugo resumes.
