Microsoft Teams Rooms can display digital signage when a room is idle. By connecting a Teams Room to Fugo, you can show dashboards, announcements, room schedules, workplace updates, and other content whenever a meeting isn’t in progress.
When a meeting starts, Microsoft Teams takes over the display. When the meeting ends, Fugo resumes playback automatically.
💡 Which link to use: On Teams Rooms, use the plain https://player.fugo.ai address, not a Fugo virtual screen link. Each Teams Room loads its own player and shows its own pairing PIN on the room display, and you pair that PIN in Fugo. Setting up Google Meet hardware instead? Before you begin
You’ll need:
An active Fugo account or trial account (sign up here) with a free screen license for each room
Content already set up in Fugo, such as a playlist, media file, dashboard, or app
Access to the Microsoft Teams Rooms Pro Management Portal
A Microsoft admin account
A configured Microsoft Teams Room device
Configure Microsoft Teams Rooms to display the Fugo player
First, add the Fugo player as a digital signage source in the Microsoft Teams Rooms Pro Management Portal and switch it on for your room.
1. Open the Microsoft Teams Rooms Pro Management Portal: portal.rooms.microsoft.com.
2. Log in with your Microsoft admin account.
3. In the sidebar, go to Settings → Digital signage and click Add source.
4. Give your source a name, such as Fugo Signage, and click Next.
5. Select Custom, enter https://player.fugo.ai in the URL field, then click Next.
6. Acknowledge the terms by clicking Next.
7. Review the details and click Submit, then Done. Your Fugo source has now been added. You only need to do this once, and you can assign the same source to as many rooms as you like.
8. In the sidebar, go to Rooms and select the Teams Room where you want to display Fugo content.
9. In the room settings pop-up, go to Settings → Digital signage and configure the following:
Turn Digital signage on
Turn Show Teams Rooms banner on
Set the idle display period before signage activates. We recommend 1 minute
10. Scroll down and configure the following:
Turn Allow screen timeout when device is idle off
Set Signage source to the Fugo source you created in steps 3–7
11. Click Apply → Apply now → Submit → Skip and Close.
💡 Note: The settings are applied in the background, so it may take a few minutes for them to reach your Teams Room device.
Pair your Teams Room to Fugo
Once the room has been idle for the period you set, the Fugo player loads on the room display and shows a 4-character pairing PIN.
1. On your computer, open Fugo CMS at https://www.fugo.ai/app and log in.
2. Go to the Screens page, click Add screen, and choose Physical screen.
3. Enter the PIN shown on the Teams Room display and complete the pairing flow.
4. Give your screen a name that makes it easy to identify later, such as the room name or location. Add any labels or screen properties you've saved in your account if you like. That finishes the pairing.
5. Assign a playlist or other content to the screen from your Playlists page.
You can either create a new playlist by clicking Create Playlist:
Or open an existing playlist, click Edit, and add your new screen to that playlist when prompted on step 2:

That’s it. Your assigned content now plays on the Teams Room display whenever the room is idle. When a meeting starts, Teams takes over, and when it ends, Fugo resumes playback.
💡 Setting up several rooms? Assign the same Fugo source to each room in the Pro portal. Every room shows its own PIN, so pair each one separately in Fugo. Each paired room uses one Fugo screen license.
